Complaints, apologies and taboo topics each have their own conventional openers that signal the move you're about to make and cushion its impact.

Use it when

  • You need to raise a problem without sounding aggressive.
  • You're admitting a mistake and want to repair the relationship.
  • You're about to bring up money, health, age or other sensitive subjects.
  • A first, softened attempt hasn't worked and you need to be firmer.

Examples

  • Sorry to bring this up again, but the invoice still hasn't arrived.
  • I owe you an apology for missing the deadline last week.
  • Feel free to say no, but would you mind sharing what you paid for that?
  • I hate to be that person, but the noise is making it hard to work.
  • I take full responsibility for the mix-up and I'll fix it today.

Watch out

  • I'm sorry if you were offended.

    I'm sorry I offended you.

    A real apology owns the action, not the other person's reaction.

  • Launching straight into a complaint with no opener at all.

    Use a softening opener first unless you've already tried that and been ignored.

    A bare complaint can sound like an attack rather than a request.

  • Asking a taboo question with no warning.

    Flag the sensitivity and give the other person an easy way to decline.

    It respects boundaries and keeps the conversation comfortable.
